The Protocol, Events, and Announcements Team is essential in fostering a spirit of excellence, hospitality, and community. By managing logistics, enhancing communication and engagement, and ensuring seamless operations, our behind-the scenes work supports the church's vision and mission, creating impactful and memorable experiences that embody the heart and spirit of our Elpis.
Responsibilities
Protocol Management
Volunteers ensure a warm and seamless experience for special guests visiting our church, this may include ministers, church leaders or dignitaries.
- Attending to the needs of guest guests on the day of their visit.
- Providing exceptional hospitality and care throughout their time with us.
- Coordinating with guests before their visit to address any requirements and confirm arrangements.
- Facilitating smooth communication and logistics to ensure a successful ministry experience.
Events Management:
- Support with the execution of all church events such as conferences, concerts, retreats, fundraising etc.
- Conduct thorough research and collaborate with third parties, including vendors, to ensure effective communication and project alignment.
- Work with other teams to handle logistics, including venue setup and packdown, event schedules, catering, technical requirements etc.
Announcements Management:
- Communicate important updates, upcoming events, and opportunities to the congregation during services or through digital channels such as the Elpis Community via Whatsapp.
- Maintain clarity, consistency, and professionalism in announcements to keep the church informed and engaged.\
- Oversee transitions during services (in-person or online) such as introducing speakers, coordinating worship team transitions, and ensuring all participants are prepared.
- Ensure that church services and events follow a structured flow (order of service) and operate in an orderly manner, from the opening prayer to the benediction.
- Collaborate with leadership team, leaders and coordinators to ensure timely dissemination of critical information.
Volunteers are expected to uphold our church's spirit of excellence and exceptional hospitality.

Strong Organisational Skills: The team must handle logistics, schedules, and coordination efficiently. supporting various administrative tasks, such as managing the order of service, event agendas, design briefs etc.
Attention to Detail: Ensures all aspects of services and events meet high standards of excellence.
Communication and Interpersonal Skills: Facilitates clear communication within the church and engages effectively with members, visitors, other volunteers and other teams.
Adaptability: Handles unexpected changes or challenges during services or events with poise and quick thinking.
